Recently, the telecommunications industry enjoyed its own form of excitement when OpenText Corporation acquired enterprise fax provider EasyLink. The enterprise fax industry has received a big boost from the combination of these two market leaders, helping to extend their reach in the exchange of electronic information.
A recent OpenText blog post stressed the excitement of this acquisition, comparing it to watching the 2012 Olympics. And, much like the Olympic athlete must be fully committed to his or her sport to achieve the pinnacle of success; IT departments make it a priority to implement the best strategies to drive optimal business and operational objectives.
These efforts include enterprise fax communications. To determine the best implementation strategy, IT managers must evaluate the potential in cloud-based or on-demand fax solutions. Faxing in the cloud must be fully examined if they hope to drive winning process optimization.
But is faxing in the cloud the best approach for any enterprise fax strategy? OpenText offers up a few questions that should be answered by the IT department to determine the best direction. The first consideration ? whether or not the current cost for fax infrastructure and services will exceed the budget in the coming year.
IT managers must also take into consideration whether or not they are currently experiencing scalability issues or undelivered faxes when unpredictable spikes in transmissions occur. If these issues are occurring, IT staff is likely consumed with addressing the outcomes, stressing the need to evaluate the potential of moving enterprise fax capabilities to the cloud.
If the enterprise has a large number of standalone analog or digital fax machines scattered throughout the building where confidential information is sent or received, that information may be compromised if not properly protected. Unintended recipients are more likely when enterprise fax initiatives are not based in the cloud or managed on the network.
The organization that needs to extract data from current faxes or other inbound documents may also want to implement the cloud-based enterprise fax, especially if they don?t want to invest heavily in new applications. The same is true for the global organization seeking to centralize the administration and management of their fax operations, or one that simply wants to reduce its carbon footprint with a green approach to communications.
The organization or enterprise that can easily relate to any of these considerations may be perfectly positioned for moving the enterprise fax to the cloud. Information exchange success is likely a priority and cloud-based communications is a key initiative in this effort. Exploring proven providers to deliver cloud-based fax solutions is a great next step.
